What GCMS notes contain
GCMS (Global Case Management System) is the database in which Immigration, Refugees and Citizenship Canada (IRCC) processes every visa, permit, permanent residence and citizenship application. The online status tracker shows you only "Received" or "In progress"; the GCMS record shows what the officer actually wrote. A typical file includes:
- the officer's assessment and comments, including the grounds behind a refusal;
- the status and dates of eligibility, medical, security and background checks, so you can see which one is holding up a delayed file;
- the file history: correspondence, document requests and how each was handled;
- notes from earlier applications held under the same client identifier (UCI).

Who can order
Anyone with a Canadian immigration application can order, from any country, with or without Canadian status. Under the Access to Information Act only Canadian citizens, permanent residents and people present in Canada can file a request directly, so applicants abroad authorise a Canadian representative to file for them. That is our role: you sign a consent form, we submit the request from Canada, and IRCC releases the records to you through us. Read more in Requesting GCMS notes from outside Canada.

Before you order: common questions
Do I need to be in Canada or have Canadian status to order?
No. Anyone can order from anywhere. Only Canadian citizens, permanent residents and people present in Canada can file an Access to Information request directly, so we file it for you as your Canadian representative after you sign a consent form.
How long does it take to get GCMS notes?
IRCC has 30 days by law to respond and may extend that period; most files arrive in about 4 to 6 weeks from the day the request is filed. We file the same business day we receive your signed consent form, and you can follow every step in your dashboard.
Will requesting my notes affect my application?
No. Access requests are handled by IRCC's ATIP office, which is separate from the officers processing applications. Requesting your records is a legal right and has no effect on the outcome or timing of your application.
My refusal letter already came with the officer's notes. Do I still need this?
Since July 2025 IRCC sends a short decision note with most temporary resident refusals, and since May 2026 with most PR refusals. It is the final officer's summary, not your file: it does not show the history, the check results, correspondence or CBSA records. If the note is generic, your file is delayed, or you are considering judicial review, the full GCMS record is still the only way to see what happened.
What do I receive and how?
A PDF of the records IRCC (or CBSA) releases, downloadable from your secure dashboard, with an email at each step. The GCMS printout contains the officer notes and comments, the status of each check, the file history and the list of documents on file.
